Following its change of ownership, SPS faced one central question: how do you turn an IT environment that has grown organically over more than twenty years into one the business can rely on for the future? We began by moving email communication and collaboration to Microsoft 365. We then took over day-to-day IT operations, providing dedicated two-tier support with clearly defined response times. In parallel, we are working with SPS to plan the phased replacement of systems that are no longer supported by their vendors.

About SPS Schaltanlagentechnik Wittenberg GmbH

SPS Schaltanlagentechnik Wittenberg GmbH builds switchgear, predominantly to customer order. Around 50 employees work across its two sites in Wittenberg and Berlin, with approximately 20 IT workstations in use. Following the change of ownership, the mid-sized company has repositioned itself – and taken a hard look at its own IT in the process.

The Challenge

Over a period of around 20 years, SPS's IT landscape had grown steadily and been tailored to the company's specific requirements. The result was a diverse system landscape that now needed targeted modernization, closer integration and step-by-step automation. At the same time, a planned change of IT service provider was approaching, and the knowledge built up over the years had to be preserved for the long term.

SPS was therefore looking for a partner that would not only ensure reliable, well-structured IT operations but also actively support its technological development. The initial focus was on introducing Microsoft 365 and optimizing existing workflows. In the longer term, the server infrastructure and core IT systems were also to be modernized, and further opportunities for automation and more efficient processes unlocked.

Ingold – Strategy and Implementation

The project was delivered in two closely coordinated phases. The first phase addressed the part of IT that every employee relies on daily: email communication, file access and collaboration. We then took over management of the entire IT environment and established a structured foundation for its continuous development. SPS's IT landscape combines modern cloud services with established business systems, including solutions for user and permissions management, server virtualization, commercial business processes, remote workstations, data backup and update management.

1

Migration to Microsoft 365

The email infrastructure was migrated to Exchange Online. Microsoft Teams, SharePoint and OneDrive were introduced as modern solutions for communication, collaboration and file management. User accounts are additionally secured with multi-factor authentication.

2

Managed IT Support

Ongoing IT support is provided under a fixed support agreement. All services are transparently documented and clearly presented in a monthly report.

3

User and Infrastructure Support with Clear Response Times

A structured helpdesk assists employees with their everyday IT issues. In addition, a specialist team takes care of servers, infrastructure and more complex technical matters.

4

Step-by-Step Modernization and Automation

Systems that have reached the end of vendor support, or whose technology base is due for renewal, are being phased out or modernized step by step according to an agreed plan. These include older server platforms and the database environment of the ERP system. The existing IT infrastructure is continuously being developed further.

The Results

Today, SPS benefits from dependable IT support with a dedicated point of contact for all IT matters. All requests are logged and handled centrally through a ticketing system. Clear response times provide reliability, while monthly reports show transparently how support hours have been used. The ongoing service includes the following:

Microsoft 365 as a Shared Workplace Platform

With Exchange Online, Teams, SharePoint and OneDrive, SPS now has a unified platform for email, file storage and collaboration at both sites. Centralized user and license management, combined with multi-factor authentication on every account, ensures efficient workflows and a high level of security – in Wittenberg and Berlin alike.

Helpdesk for Everyday Work

Level 1 support helps employees with everyday IT issues – from password and account queries, Outlook and printers to VPN, Remote Desktop and software installations. Setting up and deactivating user accounts when employees join or leave the company is also part of the service, keeping day-to-day operations running smoothly.

Server and Infrastructure Management

The Level 2 team manages and optimizes the core IT infrastructure – from virtual servers and directory services to the network, Wi-Fi and network storage. Continuous monitoring and proactive maintenance planning help ensure system stability and availability.

Backups Put to the Test

A backup is only as good as its restore. That is why we don't just monitor backups – we also verify them regularly through test restores. This gives SPS confidence that its data can be reliably recovered in an emergency.

Security and Updates

Windows updates are rolled out in a controlled manner through centralized update management. Endpoint security and user accounts are also managed centrally. This keeps systems up to date and reduces security risks at an early stage.

Documentation and Modernization Roadmap

We keep the IT documentation continuously up to date, creating a reliable knowledge base for day-to-day operations and future development. Together with SPS, we are planning the next modernization steps: upgrading outdated Windows versions and the database environment, expanding the server platform and further developing the core systems in a targeted way.
