Initial Situation and Requirements

Before embarking on the SAP Business One project, Tapes & more relied on Microsoft Dynamics NAV as its existing ERP system. As the company continued to pursue digitalisation and prepare for future business requirements, it began evaluating a new ERP platform to improve processes, integration, usability and extensibility.

The objective was not simply to replace the existing system. Tapes & more needed a long-term, sustainable ERP platform capable of supporting its diverse business operations while remaining flexible enough to accommodate company-specific requirements.

As part of an in-depth SAP Business One presentation, Ingold Solutions worked closely with the customer to assess key business requirements and demonstrate how these could be addressed through targeted ERP functionality and tailored solutions.

Key Challenges and Objectives

1. Migrating from Microsoft Dynamics NAV to SAP Business One

One of the central challenges was the transition from the existing Microsoft Dynamics NAV / Navision environment to SAP Business One.

One of the project's key challenges was transitioning from the existing Microsoft Dynamics NAV (Navision) environment to SAP Business One.

The task involved more than simply transferring relevant data from a technical perspective. It was equally important to determine how existing business processes should be structured and managed within the new ERP system.

During the evaluation phase, Ingold Solutions therefore assessed potential approaches to data migration, master data mapping and the transfer of existing business information.

2. Managing Complex Processes Across Distribution, Warehousing and Manufacturing

Tapes & more operates beyond the scope of traditional distribution businesses. In addition to purchasing, sales, finance and warehouse management, manufacturing and converting processes play a central role in its operations.

The requirements analysis therefore examined the company's specific operational workflows in detail, with particular attention to:

Product converting and bill of materials management
Manufacturing processes and material consumption
Time recording
Batch management and traceability
Quality control and retained samples
Approval workflows

The objective was to capture both standard commercial processes and the specialised requirements of manufacturing and converting, bringing them together within an integrated ERP solution.

3. On-Premise Deployment with Independent IT Administration

Tapes & more opted to run SAP Business One within its own IT infrastructure. Key priorities included integration with the existing system landscape, maintaining administrative independence and establishing clearly defined responsibilities.

SAP Business One was installed and configured within Tapes & more's local IT infrastructure.

3. Active Directory Integration and Single Sign-On

Another important part of the technical implementation was the integration of SAP Business One with the customer’s existing Microsoft Active Directory environment.

Windows users were linked with the corresponding SAP Business One users and Single Sign-On was enabled. This allowed SAP Business One to be integrated more closely into the customer’s existing user and access-management structure.

4. Administrative Control Retained by Tapes & more

A defining feature of the solution is that it operates within the customer's own IT environment. This enables Tapes & more to manage administrative tasks independently, while Ingold Solutions remains available to provide specialised technical and functional SAP expertise when needed.

The result is an approach that combines internal IT autonomy with access to dedicated SAP Business One knowledge and support.

5. Boyum B1 Usability Package

The Boyum B1 Usability Package was implemented and fully integrated into the SAP Business One environment to support customisation and process optimisation.

Boyum enables SAP Business One to be adapted to specific operational requirements through features such as:

Additional fields and functionality
Validation rules and automation
User-specific process logic
Customised workflows

These capabilities allow the system to better reflect the company's day-to-day operational needs.

At the same time, several solution components — SAP Business One, Microsoft SQL Server, Boyum — had to be brought together within a consistent system architecture.
